TERMS & CONDITIONS

Please read these terms carefully before proceeding, as they constitute your contract with Weddings Made in Italy.

All bookings are made with Weddings Made in Italy, a company registered in England, company number 03772840.

 

Bookings will only be confirmed upon receipt of a completed booking form (which forms the contract between you, the client, and Weddings Made in Italy), along with all relevant details as requested on the booking form, and payment of a non-refundable deposit amounting to 30% of the total value of your wedding proposal. These terms form an extension of your booking form and apply to all bookings.

Booking Stages

 

Stage I: Initial Booking

Upon receipt of your completed booking form and deposit, Weddings Made in Italy will confirm Stage I of your wedding. This includes confirmation of the location, date, time of the ceremony, and any other services specified in your initial proposal. You will receive a confirmation invoice detailing all agreed elements.

A non-refundable deposit equal to 30% of the total invoice value is required at this stage. Please note, in some cases, due to specific service providers’ requirements, we may request an additional deposit, which could exceed 30%. Should this occur, you will be informed promptly.

Important: The deposit is non-refundable. We strongly recommend that you obtain adequate wedding and travel insurance to protect against unforeseen circumstances.

Stage II: Ancillary Services

This stage covers all additional wedding elements not included in Stage I. A separate invoice will be issued for these services. 

Payments for Stage II services are structured as follows:

  • 30% payable upon confirmation of each service,

  • A further 10% payable one month after the invoice date,

  • The remaining balance payable no later than ten weeks prior to departure.

Please be aware that some suppliers may require deposits or full payment earlier than the dates indicated above. Weddings Made in Italy will endeavor to provide flexibility where possible and will keep you informed accordingly.

Important Notes on Ancillary Services

Certain Italian service providers (e.g., reception venues, caterers) may impose their own contractual terms. As your wedding planners and coordinators, Weddings Made in Italy is obligated to pass these conditions on to you. These may include variations to deposit amounts, payment schedules, and cancellation policies.

Because of the wide variety of services offered, it is not possible to provide a standard set of terms for all ancillary services. However, we will keep you informed at every step to enable you to make informed decisions.

Failure to complete full payment by the specified deadlines may result in automatic cancellation of the affected service(s).

Please note that cancellations, amendments, or other changes after confirmation may incur additional costs. Therefore, ensure you are certain before confirming any service.

General Provisions

  • It is essential that all information provided on the booking form is accurate and complete. Errors or changes may jeopardize your wedding arrangements or result in cancellation or additional administrative fees.

  • All proposals are subject to availability at the time of booking.

  • By submitting the booking form and deposit, you acknowledge and accept these terms and conditions.

 

Communication and Documentation

All communications with Weddings Made in Italy must be conducted in writing, either via postal mail or email. Any required documentation must be sent to our Italian office using international registered post. Please ensure you retain a tracking number for all shipments, as the responsibility for providing the correct legal documentation for your wedding in Italy lies solely with you, the client.

Failure to submit the correct documentation, or submission of incomplete or incorrect paperwork, will incur an administration fee. This fee will correspond to the time and effort required to resolve the issue. Please be advised that, due to time constraints or other factors, rectification may not always be possible. We strongly encourage you to conduct your own enquiries to ensure all documentation is accurate and timely.

Restrictions on Direct Contact

Under no circumstances should you contact the venue or any suppliers involved in your booking directly. Doing so constitutes a breach of contract between you, the client, and Weddings Made in Italy. This policy is in place to prevent misunderstandings or duplicate bookings.

Upon receipt of full and final payment, you will be provided with a detailed wedding itinerary and any relevant vouchers. Please note that all travel arrangements will be managed by The Italian Connection (London) Ltd and Spirito Italiano.

Wedding Pricing

Prices for your wedding will be provided in your written proposal, delivered either by letter or email. The total price will generally be quoted as a lump sum and clearly outlined in the proposal.

To confirm your booking, we require a completed booking form along with a non-refundable deposit of 30% of the total invoice amount. For ancillary services, pricing details will be provided as your booking progresses. Each ancillary service will require a 30% deposit upon invoicing unless the supplier specifies a different amount, in which case you will be informed accordingly.

Price Adjustments and Currency Exchange

The price confirmed in your written proposal will remain fixed except for adjustments due to fluctuations in the Sterling/Euro exchange rate occurring after the date of the proposal.

  • Weddings Made in Italy will absorb any increase in cost up to 2% of the total wedding price (excluding insurance premiums and amendment fees) caused solely by changes in the Sterling/Euro exchange rate.

  • Any exchange rate-related increase exceeding this 2% threshold will be payable by you, the client.

  • No price increases will be applied within 28 days of your departure date.

To protect against exchange rate fluctuations, prices will be confirmed and payments taken in Euros. If you prefer to pay in Sterling, Weddings Made in Italy will provide an exchange rate, which will include a margin of 2% to 5% above the prevailing bank rate to cover currency risk.

Payment Terms

Payment Methods:
Payments made in Euros must be transferred by bank transfer directly into our UK Euro account. No other payment methods will be accepted for Euro payments. Each bank transfer in Euros will incur a processing fee of €15, which will be added to your final invoice.

Payments in Sterling can be made by bank transfer without additional fees. Credit and debit cards are accepted only for small payments up to £500.00. Please note that business credit and debit cards are not accepted.

VAT and Additional Fees

Unless otherwise stated, all prices quoted by Weddings Made in Italy include Italian VAT (IVA), which currently ranges between 10% and 22%. This rate is subject to change, and we will keep you informed of any updates.

Please be aware that fees charged by Italian town halls, consulates (both Italian and foreign), and other public offices for marriage-related ceremonies and documentation are subject to change at their discretion. Should such changes occur, Weddings Made in Italy reserves the right to adjust prices accordingly for these services.

Accepted Payment Methods

  • Bank Transfer: Please ensure all bank charges are borne by you, the client, so that Weddings Made in Italy receives the full invoiced amount. Payments in Euros via bank transfer will incur a €15 fee per transaction.

  • Credit and Debit Cards: Accepted only for payments up to £500.00. Business credit and debit cards are not accepted.

 

Changes to Your Booking

If you wish to make any changes to your booking after the confirmation invoice has been issued, please submit your request in writing. Requests must come from the person who made the original booking or from your travel agent, and may be sent via post or email.

If you send your change request by email, please also notify your wedding coordinator by phone or text to confirm receipt.

While Weddings Made in Italy will make every effort to accommodate your requested changes, please note that some arrangements may not be alterable once confirmed. Certain changes may incur cancellation charges up to 100% of the affected services.

Administration Charges for Changes

Where changes are possible and you require them to be made, Weddings Made in Italy reserves the right to apply an administration charge reflecting the time spent and any costs incurred or to be incurred from third-party suppliers.

  • An administration fee of £89 + VAT will be charged per change request.

  • This fee is in addition to any cancellation or alteration charges imposed by third-party suppliers.

  • No changes will be made until the administration fee and a detailed written request specifying the changes are received.

  • Availability of changes is at the absolute discretion of Weddings Made in Italy.

If you do not pay the administration fee or if changes are not possible, failure to comply with your booking terms without modification may be considered a cancellation by you, resulting in cancellation charges as outlined in our cancellation policy.

Examples of Chargeable Changes

The administration fee applies to significant changes, such as:

  • Change of venue,

  • Change of date or time,

  • Sourcing alternative venues or services.

Minor changes, such as adjusting the colour of a bouquet, will not incur an administration fee unless requested less than 14 days before departure, or if multiple minor changes become excessive (e.g., more than five bouquet colour/style changes).

Cancellation by You

If you decide to cancel your booking at any time prior to your departure, you must notify Weddings Made in Italy in writing as soon as possible. Written confirmation of your cancellation must be sent by the person who made the booking or their appointed travel agent. Please include your reason for cancellation, although this is not mandatory.

Please note the following cancellation charges:

  • Initial deposits are non-refundable.

  • Cancellations made between 9 and 5 months before the wedding date: 50% of the remaining balance will be charged.

  • Cancellations made less than 5 calendar months prior to arrival: 100% of the remaining balance is payable.

Any variations to these charges will be discussed with you and confirmed in writing.

Cancellation or Changes by Us

While it is unlikely that Weddings Made in Italy will need to change or cancel your booking, we reserve the right to do so at any time. You will be informed of any changes or cancellations as soon as possible prior to your journey.

In the event of a significant change (e.g., change of venue or date) beyond our control, you will be offered either an alternative comparable arrangement, if available, or a voucher for the equivalent amount paid, valid for 12 months.

If the change or cancellation is due to force majeure (see below), we shall not be liable to provide alternative arrangements, compensation, or refunds.

Force Majeure

Force majeure refers to extraordinary circumstances beyond our reasonable control, including but not limited to: war, riots, terrorism, natural disasters, pandemics, government actions, mechanical or technical failures, industrial disputes, adverse weather conditions, or other unforeseeable events.

In such circumstances, Weddings Made in Italy reserves the right to amend or cancel wedding arrangements as deemed necessary.

Your Responsibilities

You are responsible for providing all necessary documentation required for your wedding arrangements, including but not limited to identification, passports, visas, and any legal paperwork required under Italian law or by other relevant authorities.

  • We will provide guidance on required documentation, but it is your responsibility to verify and ensure accuracy independently.

  • Any costs incurred in procuring or processing documentation in the UK, Ireland, or elsewhere are your responsibility.

  • Failure to provide the correct and valid documentation may result in delays, cancellations, or inability to access services agreed upon in your contract.

  • If you do not hold a valid passport or visas where required, you may be refused entry into Italy or other jurisdictions involved in your wedding.

  • Failure to produce required documentation to relevant authorities or institutions may result in your wedding ceremony not being authorised, delayed, or cancelled.

  • Weddings Made in Italy accepts no liability or responsibility for any loss, damage, or inconvenience caused by your failure to produce correct or timely documentation.

  • You are responsible for ensuring that all paperwork complies with the requirements of municipal, governmental, religious, or other authorities involved in your wedding arrangements.

 

Delay

In the event that you experience any delay or are otherwise unable to comply with the required timelines for your wedding arrangements, you must notify Weddings Made in Italy immediately, providing full details of the reason for the delay.

If the delay is not due to any fault on our part, Weddings Made in Italy shall not be held liable for any consequences arising from such delay. However, upon request and subject to payment of our administration fee as detailed in the Change of Booking section above, we will make reasonable efforts to assist you in mitigating the impact of the delay.

Should we be unable to provide the required services due to your delay, we may supply contact details of alternative suppliers for your consideration. Any engagement with such suppliers will be your responsibility, and Weddings Made in Italy assumes no liability for their services.

No refunds will be provided for unused services or facilities resulting from delays. We strongly recommend that you obtain adequate insurance to cover such eventualities.

Pre-Wedding Visit

Weddings Made in Italy will coordinate all pre-wedding visits on your behalf. A minimum arrangement fee may apply. Should you wish to be accompanied during your visit, this can be arranged subject to availability and may incur an additional fee.

This fee will be fully credited against your final invoice upon confirmation of your wedding with Weddings Made in Italy.

The purpose of the pre-wedding visit is to allow you to inspect the venue and ensure it meets your expectations. Please note that no contractual discussions concerning pricing, logistics, or other arrangements will take place on-site; all such matters must be addressed in writing following your visit.

You are responsible for your own transport during the pre-wedding visit. If required, we can arrange private transportation at an additional cost.

Please do not confirm flights, accommodation, or other services until Weddings Made in Italy has confirmed the availability of your chosen venue.

Liability at the Destination

You shall be liable for any damage caused by yourself or any member of your party relating to your booking.

Any additional expenses incurred that are not included in the confirmed price or detailed in our invoices are your responsibility.

Third-party services not included in your booking will be arranged directly between you and the supplier, and Weddings Made in Italy accepts no liability for payments or losses related to such services.

If you arrange additional services on-site without prior confirmation in your itinerary, you will be responsible for payment directly to the service provider.

Should you require Weddings Made in Italy to liaise with any suppliers on your behalf, please note that an administrative charge will apply, starting at £55.00 + VAT per hour.

Insurance

You agree to use your best efforts to obtain comprehensive insurance coverage for any potential losses related to cancellations, delays, illness, accidents, or other events reasonably insurable.

We recommend securing both travel and wedding insurance. Unless otherwise informed, we will assume that you have adequate insurance in place.

Weddings Made in Italy, along with our on-site coordinators and associated travel partners (The Italian Connection (London) Ltd and Spirito Italiano), accept no liability for personal injury, loss, theft, or damage to property during any event or service provided.

It is also assumed that your insurance policy covers medical expenses, personal luggage, personal accidents, property damage, cancellation, legal expenses, and emergencies.

What is wedding insurance?
A policy designed to provide financial protection in the event that unforeseen circumstances require your wedding to be postponed or cancelled, or if significant disruptions occur on your wedding day.

 

Do I Need Insurance?

Whether you need wedding insurance depends on the total amount you are spending and your personal preference for added protection beyond any existing coverage you may have. It also depends on how concerned you are about unexpected problems and how important peace of mind is to you.

Weddings Made In Italy insists that all clients obtain wedding insurance that specifically covers overseas weddings.

While policies vary, typical coverage includes cancellation or rearrangement of the wedding or reception due to accidents, illness, or bereavement affecting key members of the wedding party, or if a supplier goes out of business. Most policies also cover loss or damage to major items such as wedding outfits, presents, rings, cake, flowers, costs for retaking photographs or videos, failure of wedding cars, as well as personal liability and legal expenses.

The amount you can claim depends on your level of coverage. It is important to ensure your insurance covers the total cost of your wedding and may also include specific items such as your wedding dress, cake, rings, and other valuables.

 

Variations in Price

If you request changes to your booking or wedding arrangements, we will notify you of any price variations to the affected components. You will be responsible for any increase in costs resulting from such changes.

Misrepresentations

Weddings Made In Italy has taken reasonable care to accurately describe the facilities and services provided. All representations are made in good faith. However, we cannot accept responsibility for any misrepresentations caused by changes to facilities beyond our knowledge.

Many weddings take place in historic buildings, and these venues may occasionally be undergoing restoration or construction. While we will endeavor to keep you informed, we cannot be held liable for such circumstances.

 

Literature and Images

All images and descriptions of venues, facilities, or services provided via email, our website, or other literature are intended as impressions or concepts only. They are designed to inspire and provide general information rather than depict every specific detail or facility included in your wedding arrangements.

Photos Provided by You

We will strive to recreate the images you provide as closely as possible. However, certain elements—such as specific flowers—may not always be available. In such cases, our suppliers will ensure that alternatives are of the highest quality and closely match your original requirements.

Important Information

It is essential that you carefully read these Terms and Conditions and all written materials provided by Weddings Made In Italy. This will help avoid misunderstandings and ensure clear communication. If you require any clarifications or further details, please do not hesitate to contact us in writing.

Complaints

We aim to provide full transparency regarding your booking and our commitments.

If you have a complaint about any aspect of your wedding arrangements, you must first raise it locally with the appointed representatives providing the service. It is your responsibility to seek a local remedy where possible.

Additionally, you must notify Weddings Made In Italy in writing within 10 days of your departure from Italy.

Failure to follow this complaints procedure, including not giving us the opportunity to resolve issues locally, may result in us not being liable for any losses or compensation.

For example, if you were not provided with a glass of Limoncello as promised, you should first speak to the caterers on-site.

This contract is governed by the law of England, and the courts of England and Wales will have exclusive jurisdiction over any disputes.

 

Special Provisions

1. Legal Formalities and Religious Requirements
Please note that your wedding arrangements will be subject to legal formalities imposed by Italian authorities and any religious institutions involved (civil, Roman Catholic, Protestant, Jewish, Muslim, etc.). We have no control over these third-party requirements or services and cannot be held liable for any delays or failures resulting from their obligations. While we will do our best to assist, any such issues affecting your wedding arrangements will not be subject to compensation.

2. Confirmation of Wedding Details
You will need to select and confirm specific details such as the exact number of guests, menu choices, music, and other arrangements. It is vital that all your requirements are confirmed in writing to ensure accuracy. Please review all documentation carefully and promptly notify us in writing if anything has been omitted or needs to be adjusted. We will confirm whether such requests can be met.

3. Supplier Management
Since your wedding services (e.g., hairdressers, makeup artists, florists, photographers) are provided in Italy by third-party suppliers, we do not routinely supervise these services on your behalf. Our role is to introduce you to these suppliers rather than manage them. Should you wish for us to manage and oversee suppliers, an administrative fee will apply, starting at £55 + VAT per hour.

4. Advance Notice for Booking
Typically, we require at least 6 months advance notice for your wedding date to secure your preferred venue. In some cases, 3 months’ notice may suffice. Shorter notice may limit venue availability and require alternative options to be considered. This timing also applies to other suppliers.

5. Supplier Selection
Services provided by our suppliers will be selected at our reasonable discretion. If there is any discrepancy between your wishes and our chosen suppliers, our decision will prevail unless we have confirmed in writing that we can accommodate your specific request.

6. Supplier Options and Pricing
We encourage your requests and will make reasonable efforts to meet them; however, all suppliers have been carefully vetted by us. Pricing will vary according to your individual requirements. While we strive to meet your needs, we cannot guarantee that every specific request can be fulfilled.

7. Maintenance or Renovation Work
Venues or facilities may occasionally require maintenance, repairs, or renovations. While we will inform you if aware, emergency works may not always be communicated in advance. We rely on service providers to update us. You are responsible for checking that venues and facilities meet your expectations, and we will assume acceptance unless otherwise advised.

8. Legal Provisions
Any terms or warranties implied by English law will be incorporated into this contract. Should any provision be deemed unenforceable, it will be severed without affecting the remainder of the agreement.

Jurisdiction

Your booking is governed by English law and subject to the exclusive jurisdiction of the English courts. Both parties agree to submit to this jurisdiction. Your statutory rights are unaffected by these terms.
